Company profile design in KL takes longer on the calendar than on the designer’s screen, once you count your own reviews and the printing. The design work itself is often the shortest part. The slow parts are the brief, the text and the time your team takes to approve each draft.
A company profile is a short document that shows a buyer, tender panel or investor what your company does and what it has delivered. Its timeline matters most when you have a date to hit, such as a tender closing, a trade show or an investor meeting. Below is each stage, what makes it fast or slow, and how to count back from your deadline.
The five stages of a company profile project
Every profile goes through the same five steps, whoever makes it:
- Brief: you explain who will read the profile and what it is for.
- Copy: someone writes the text for each page.
- Design: the designer lays out the pages in your brand colours and fonts.
- Revisions: you comment, the designer changes, you check again.
- Final files and print: you get the PDF and the print file, then the printer does its part.
The design team controls the drafting. Your side controls the facts, the feedback and the sign-off. That is why two companies can buy the same package and finish weeks apart.
Stage 1: the brief sets the pace
A good brief takes one meeting or one call. A weak brief costs days later, because the writer has to come back with questions.
Have these ready before you start:
- Your logo files and brand colours
- Your list of products or services
- Two to five past projects you are allowed to name
- Certificates and registration numbers, if the profile is for a tender
- Photos of your team, office or work, if you have them
If you are not sure what goes on each page, this company profile template lists the pages and what to write on each one. Fill it in before the brief and the first draft will need fewer changes.
Stage 2: copy is where most profiles stall
Writing is a stage that often runs late. The writer can draft quickly. The wait is for facts only you have: the year a project finished, the exact name of a certificate, a client’s permission to be named.
Two habits keep this stage short. First, name one person in your company who collects the facts and answers the writer. Second, approve the text before design starts. Changing words in a finished layout is slower than changing them in a document. One longer paragraph can push every page after it.
Stage 3: design time grows with page count
An 8-page profile and a 24-page profile are different jobs. More pages means more layouts, more photos to place and more charts to build. If you want charts of sales, staff or projects, send the numbers with the brief so the designer is not waiting for them.
Decide early whether you need one language or two. A profile in English and Malay is closer to two documents than one, because every page is laid out twice.
Stage 4: revisions are counted in rounds
Most quotes include a set number of revision rounds. How fast you answer each round matters more than how many rounds you have.
Say five people send separate comments over three days. That round is slow. Now say one person collects all the comments and sends one list the next day. That round is fast. Before you start, agree who in your company has the final say.
Stage 5: printing has its own clock
The design work ends when you approve the final file. Printing starts after that, and the printer sets that clock.
Ask the printer three things before you book the design:
- How many working days they need for your quantity and paper
- Whether they want you to check a proof before the full run
- Whether they close for any holidays in your print window
If you only need a PDF to email or send on WhatsApp, you can skip this stage. Many companies send the PDF first and print later.
Planning company profile design in KL around the 2027 holidays
If your deadline falls in January or February 2027, count working days with care. The 2027 public holiday list from the Prime Minister’s Department (updated August 2026) puts Chinese New Year on Saturday 6 and Sunday 7 February 2027. In Kuala Lumpur, Thaipusam on Friday 22 January and Federal Territory Day on Monday 1 February are also public holidays. The department notes that the list may still change.
Here is a worked example. Your tender closes on Monday 15 February 2027, and you want printed copies by Friday 5 February.
- Your printer needs five working days. Count back from 5 February and skip Monday 1 February. Printing starts on Friday 29 January, so you approve the final file by Thursday 28 January.
- You allow ten working days up to that approval for copy, design and revisions. Skip Friday 22 January. The brief then has to happen on Thursday 14 January.
Swap in your own printer’s lead time and your own review days. Then add two or three spare working days for things that slip, like a late photo or a manager on leave. Some suppliers also take extra days off around Chinese New Year, so get their dates in writing.
Ways to finish sooner
- Send all the facts in one go, not one email per question
- Approve the text before design starts
- Give one person the right to approve
- Reuse good photos you already have instead of booking a new shoot
- Start with the PDF version if the print date is the risk
The QC Fixer company profile design service offers 8, 16 and 24 page profiles with 2, 5 or 10 revision rounds. It quotes 5 to 15 working days from brief to final file. Bring that date to the first call so the schedule is built back from it.
Frequently asked questions
Can a company profile be done in one week?
Sometimes, if the profile is short, the text is already written and one person can approve quickly. A longer profile with new text and printing usually needs more time.
Do I need to write the content myself?
Not always. Many design packages include copywriting, where a writer interviews you and drafts the text. You still supply the facts and check them.
What slows a company profile project down the most?
Waiting for facts and approvals from the client side. Late certificates, missing project details and comments from several people are the usual causes.
Should I print the company profile or only send a PDF?
Most companies need a PDF for email and WhatsApp. Print helps for meetings, exhibitions and tender boxes that ask for hard copies.
When should I start if my deadline is just after Chinese New Year 2027?
Start in early January at the latest. Chinese New Year falls on 6 and 7 February 2027, and some printers and suppliers close for a few extra days around it.
